President’s Call to order.

August 27, 2020 minutes: Clarifications made to two items and approved.

Administrative/Legal Matters

  • Reviewed status of notification of Annual Meeting and Election.  Annual Meeting to be held virtually on September 17, 2020 at 7 pm via Zoom. Elections packet prepared by Counsel and mailed by Touchstone on September 1 and emailed by Touchstone on September 2 to all residents.  Deadline for returning ballots/proxies September 16, 2020 at 5 pm.
  • Residents encouraged to return ballots electronically.
  • Confirmed eligibility of three interested candidates to be elected to Board with Counsel.
  • Counsel recommends defining ‘in good standing’ in By-Laws for future decisions.
  • In case of a tie, runoff election to be held electronically within reasonable time.
  • Details of Zoom meeting emailed by Secretary to residents on September 11 and by Touchstone on September 14.
  • Preparation for Annual Meeting:  review of year’s projects, matters for discussion.
  • Future Board Projects:  guidelines for penalties, use of generators, use of propane devices, parking.
  • Request that Touchstone share copies of all correspondence with homeowners with the Board.
  • All work orders for Professional Irrigation to be initiated by Touchstone;  invoices incurred by homeowners to be paid by homeowners.

Homeowner Matters/Requests

Buildings & Grounds

  • Dock repairs:  review proposal from vendor.  Board voted to approve dock repairs based on current estimate.  Description of project to be sent to community by President.
  • Contract with A-1 sewers to be re-engaged to clean out all lines twice a year.  Maintenance of whole community to be scheduled.
  • Owners to be reimbursed for costs associated with backup in their sewer lines.
  • Need more thorough inspection reports of all Captain’s Walk homes. 

Finance

  • Review August cash balances, management report
  • Discuss renewal of $100K CD; invest additional $50K CD?  Bank indicates money might earn more in savings account at this time.
  • Bob Kant to be added as signatory on HOA bank accounts.  Neal Kilbane to contact banker to initiate the process.

Pool & Snow Removal

  • Review of pool operations for summer 2020.
  • Bob Kant to turn off pool heater.
  • AquaTech to close and winterize pool.
  • Guard’s desk and chair to be stored in clubhouse.

Clubhouse

  • Clubhouse closed during Covid.
  • Kathy to replenish paper towel supply.

Landscaping

  • Proposal for fall plantings to be reviewed.

New Business

  • Annual Meeting: September 17, 2020 at 7:00 pm.
